Job Summary: 

The Associate, Procurement drive the assigned procurement operations, ensuring efficient and effective management of Savings Tracking, Service Line (Category) management analysis, Management reporting packs and sourcing events support.

Job Responsibilities: 

• Source and procure equipment, spare parts, consumables, and services essential for the Company's operations.
• Negotiate contracts and purchase agreements with suppliers to secure favourable terms.
• Coordinating tasks of the purchasing department (Assist mega project compliance to deadlines, budgets and quality of goods.)
• Ensure proper documentation for audits and compliance purposes.
• Liaise with internal departments to understand their procurement needs.
• Provide updates on order status and delivery timelines to stakeholders, HOD & DSP.
• Compliance and Reporting:

1. Ensure all procurement activities comply with organizational policies and regulatory requirements.
2. Generate regular reports on procurement activities, order statuses, and vendor performance.
3. Update procurement databases and systems regularly.
4. Maintain and monitor purchasing policies & SOPs.
5. Prepare reports on procurement activities, savings, and performance metrics.

Job Requirements: 

• Possesses a Bachelor's degree in Business, Information Technology (IT), Supply Chain or other related field. 
• Possesses at least 5 years of IT procurement experience, specifically in software and system. 
• Presents strong analytical and data interpretation skills
• Highly skilled in conducting market research and comparing prices from various vendors to ensure cost-effective purchasing decisions.
• Experience in sourcing and procuring materials, supplies, and equipment for construction sites will be an added advantage.
• Ability to resolve disputes related to purchase orders and agreements.
• Proven capability to handle urgent requests and complete projects within tight deadlines.

The ideal candidate will have a strong background in project management and information technology, with a passion for integrating AI technologies into business operations.

Job Description

• Develop and maintain essential project management artifacts, including but not limited to project charters, Work Breakdown Structure (WBS), gantt charts, risk registers, communication channels and project management plans.         
• Prepare and maintain project documentation including but not limited to project documentation, minutes of meeting, status reports and product backlogs.
• Collaborate closely with cross-functional teams, vendors and stakeholders to gather project requirements, user stories, address concerns, and ensure alignment of project goals and expectations.
• Facilitate collaboration and communication among team members by organizing and leading collaborative work sessions, brainstorming activities and knowledge sharing activities. 
• Ensure quality control measures are implemented throughout the project lifecycle to maintain high standards of deliverables.   
• Assume the role of project manager for projects leading project initiation, project planning, execution and delivery as part of career development activities.     
• Continuously explore and adopt innovative tools and project management methodologies to optimize task efficiency and organization, ensuring proactive improvement of project execution processes.   
• Translate business cases, project management plans and project status updates into visually engaging and well written presentation decks.
• Deliver presentations showcasing project updates, findings and recommendations.
• Contribute and execute ideas and strategies on fostering collaborative team dynamics and creating a positive team environment.
• Support project deployment lead and team members in other project related tasks and activities.

• Design, develop and integrate AI solutions for upcoming Technology Division's flagship projects.
• Analyze and identify business challenges in collaboration with stakeholders and users to develop AI-driven solutions.
• Collaborate closely with stakeholders and users to design and implement effective data strategies that support model training and evaluation.
• Stay abreast of AI research by actively participating in conferences and workshops, introducing innovative ideas and techniques to the team.
• Conduct rigorous testing and validation of AI models to guarantee adherence to avoid hallucinations and AI-bias to guarantee reliable performance in production.
• Provide comprehensive documentation for all implemented AI solutions.
• Actively participate in peer code reviews and contribute to the team's knowledge base by sharing expertise on coding standards and best practices.
• Monitor and evaluate the performance of deployed AI solutions
• Provide training and support to team members and stakeholders on new AI tools and processes

Job Requirement:

• Candidate should possess at least a Diploma/ Advanced Diploma, Bachelor's Degree or equivalent in Computer Science/ Information Technology
• Possesses at least 3 years of related working experience, preferably in a middle management specializing in Information Technology or equivalent.
• Possesses strong communication skills in English,Malay language for both spoken and written
• Solid experience in project management methodologies and AI technologies
• Demonstrated ability to lead projects and implement AI-driven innovations effectively
