Overall Accountability:

1. To assist the Manager in the overall Human Resources functions including Recruitment, Compensation and Benefits, Industrial Relations, Employee Relations and Payroll.

Overall Responsibilities:

1. To assist in formulating and implementing all HR policies and procedures and ensure they are constantly in line with the company and market practices.
2. To review and supervise the recruitment process.
3. To review and supervise to ensure that disciplinary and IR issues comply with the statutory requirements and the company’s policies and procedures.
4. To assist in any investigation work relating to staff discipline.
5. To work closely with panel clinics/hospitals to ensure proper control processes on all medical-related benefits.

8. To assist in formulating the Employee handbook.
9. To prepare yearly department budget.
10. Provides training to lower-level staff members of the Human Resources department to ensure that they understand all current policies and procedures associated with the various benefit programs.

Payroll:

1. Able to handle a minimum 300+ headcount.
2. To ensure the monthly payroll is processed on time and with accuracy.
3. Ensure the payroll administration complies with the statutory regulations on salary and remuneration and the company’s policies and procedures.
4. To check the processed monthly payroll before submitting it to the Manager, HR
5. To ensure the system of appraisals is carried out and to process the yearly performance review.

Requirements:

1. FIVE (5) years of working experience in a similar position/in the HR field.

We are looking for a dedicated and dynamic Senior Specialist, People Advisory & Operations where you will demonstrate a strong track record in the execution of overall People Operations initiatives for employees across our offices including Malaysia and Singapore.This role will be crucial in providing expert HR advice, managing day-to-day people operations, and contributing to strategic HR projects. The ideal candidate will demonstrate strong ownership of issues, is highly meticulous in thought process and actions, and takes initiative to act with urgency to follow through and problem solve with, and for your stakeholders.

What you will do:

HR Advisory

• Being the point of contact to provide sound HR advice and support to employees on various HR matters including policies, benefits, performance, and career development.
• Address employee queries and issues promptly and effectively, ensuring a positive employee experience.
• Advise on the application of HR policies and procedures, ensuring consistent and fair treatment of employees.
• Ensure HR practices comply with local labor laws and regulations.
• Identify potential HR risks and implement strategies to mitigate them.

Operations

• Develop and implement efficient HR processes to enhance operational effectiveness
• Work closely with vendors to ensure accurate and timely processing of payroll and taxation, and benefit administration in remote countries. Assist in other countries when support is needed
• Ensure work permit applications, immigration matters etc, are processed in a timely manner
• Prepare employee dashboards/ reports as needed 
• HRIS employee core database management - Maintain accurate HR data in HRIS and ensure timely reporting and analytics
• Represent the company during audit/ regulatory checks
• Develop and implement efficient HR processes to enhance operational effectiveness
• Work closely with HR team to support and execute HR-related initiatives

Project Management

• HR Initiatives: Lead or support HR projects related to process improvement, automation, employee engagement and strategic initiatives.

What we are looking for:

• Have at least 7+ years of experience in People Operations
• Experience with working in a sizeable and fast paced environment with multi-cultural workforce
• Demonstrated experience in employee lifecycle, payroll administration and/or HRIS

RESPONSIBILITIES OF THE JOB

• Recruitment
• Advertising, sourcing, screening according to the business requirements and candidates’ suitability. Primarily first interview for Assistant Managers and Managers. Other positions only in the absence of Sen. Executive HR.
• PI Test and placement of potential candidates Primary for first interview for Assistant Managers and Managers.
• Reference check – 2 per selected candidates.
• Ensure proper HR documentation for new recruits, Offer Letters, confirmations acknowledgement and employment bond are completed in a timely manner.
• Preparing pre-employment medical check-up letter.
• Preparing salary structure for approval, information on new joiner respective department for email address, laptop, access card and parking card.
• Closing SLA within 60 days from recruitment process commencement.
• Ensure all HR correspondence are completed timely ie. Confirmation, Probation Extension, etc. (Assistant Managers and Managers).
• Ensure personal files (Assistant Managers and Managers) are accurately maintained and updated on a regular basis.
• Onboarding 1 (AM, M, SM).
• Analyze all received Training Requests before processing.  Follow through all L&D activities as previously planned in accordance to approved budget.
• Complete all Employee Engagement activities as planned for each calendar year in accordance to the approved budget. Advisory role for committees organizing events under Staff Welfare budget.
• Ensure that IR related matters i.e. disciplinary, counselling, misconduct investigation and grievances handling as per the guidelines and policies and are completed within 72 hours. Prepare a chronological report when necessary.
• Insurance claims processing and yearly renewal – monitor that this is done in a timely matter. 
• Ensure proper HR documentation for new recruits, confirmations acknowledgement, training and employment bond are completed in a timely manner.
• Oversee Staff Welfare i.e. Uniforms, Health Metrics, EE etc are executed by your respective downlines in accordance to schedule and plan.
• Oversee vendor sourcing and negotiations – Liaise with Procurement Executive as and when a system tool, EE, Appliance or activity requires to be ordered.
• Ensure all HR & Admin team members file documents weekly.
• Organize and conduct briefing for PEDP.
• Organize and conduct briefing yearly CoC Briefing to all co-workers.
• Schedule Duty Manager every 4 months cycle.
• Yearly review of all HR & Admin SOPs.
